Our Approval Processes

A step-by-step guide to reviewing and approving your strategy, email copy, and contact lists

We have three key approval stages in every campaign: strategy, email copy, and contact lists. Each stage has its own timeline and process. Here's everything you need to know to keep your campaign on track.

1. Strategy Approval

What you'll receive:

We'll send you a strategy package that includes:

  • A Loom video walkthrough

  • A written document or whiteboard explaining the strategy

Note: The specific format may vary from campaign to campaign, but you'll always receive both visual and written materials.

What's included in the strategy:

  • What we'll say in each email

  • Your cold outreach funnel structure

  • What we need from you to move forward

  • Contact list filters and ICP (Ideal Customer Profile)

  • The process we'll use to build your lists

Timeline:

  • We'll send your strategy within 10 days after signup

  • Your Client Success Manager will send this via email

How to respond:

If everything looks good:

  • Let us know, and we'll move forward immediately

If you need minor changes:

  • We can make adjustments quickly

  • Minor changes include: tweaking the angle, trying different lead magnets, or small messaging adjustments

  • Reply with your feedback and we'll make the revisions

If you need major changes:

  • We'll schedule a meeting to discuss

  • Major changes include: needing to change the whole funnel structure

  • We'll work together to get your strategy right before moving forward

2. Email Copy Approval

What you'll receive:

Your Client Success Manager will send you the email copy for review via email.

  • You may receive multiple versions or tests of the copy

  • If we're targeting multiple audiences, you'll receive copy for each one

Review timeline:

  • Please provide feedback as quickly as possible

  • Ideally within 1-3 days

  • If we don't hear from you for 7 days, we will automatically mark the copy as approved and proceed

How to give feedback:

Please provide comprehensive feedback in a single response. Here's why:

  • We typically do one revision per week

  • Each revision takes time

  • Detailed feedback helps us get it right faster

Include all the changes you'd like to see in one message rather than sending multiple rounds of small edits.

Revision process:

  • We'll send you revised copy based on your feedback

  • This process continues until you approve the copy

  • Revisions will keep going until approval is received

Important note about timing:

If your campaign gets delayed because approval takes longer than expected, we won't be able to refund or cover the difference if we don't complete the campaign within a single month. To avoid delays, please review and respond to copy requests promptly.

3. Contact List Approval

Initial approval:

Your contact list filters and target audience (ICP) are included in your strategy document, so you'll approve the list-building approach during strategy approval.

When you'll receive the lists:

  • We'll send completed lists near the end of the month for your review

  • Your Client Success Manager will send these via email

  • Please review within 3 days maximum (sooner is better)

What's included:

The contact lists include AI-generated personalization lines. These are custom variables written by AI for each individual contact based on their specific information. These personalized elements are part of the list and cannot be separated.

Important limitations:

Unfortunately, we have limited ability to modify lists once they're completed. Here's what you need to know:

If the list doesn't meet expectations:

  • We can clean it up slightly, but not extensively

  • We will still proceed with the list as-is

  • We'll cover the difference in your next month's campaign by adding extra contacts

If the list is completely unusable:

  • If you're not comfortable sending to the list at all, we can create a new one

  • New list building takes 1-2 weeks minimum

  • This will delay your campaign launch

Best practice:

Because list changes are difficult once completed, it's crucial to carefully review and approve:

  • The list filters during strategy approval

  • Your ICP definition during strategy approval

  • Any questions about targeting before we start building
