How We Handle Instantly's Contact Limits

We manage Instantly's pricing structure to keep your campaigns running smoothly while optimizing costs.

Understanding Instantly's Pricing

Instantly charges $97/month for every 25,000 contacts uploaded to the platform. This means as your campaigns grow, you may reach the contact limit within a few months.

When this happens, there are two options:

  1. Upgrade - Add another 25,000 contact slots for approximately $87/month

  2. Delete old contacts - Remove contacts from completed campaigns to make space for new ones

Our Approach: Smart Contact Management

While upgrading works initially, it becomes unsustainable over time. You'd be paying to store contacts you're no longer actively reaching out to.

Instead, we use a rolling deletion strategy that keeps your costs predictable while ensuring uninterrupted campaign delivery.

How the Rolling System Works

We maintain capacity in Instantly for three months of sending at all times:

  • Last month - Contacts from your previous campaign

  • Current month - Contacts receiving emails right now

  • Future month - Contacts we're preparing to upload next

This three-month buffer ensures there are no disruptions to your outreach.

Example Timeline

Let's say you're reaching 10,000 new contacts every month:

  1. Month 1 - You're well within the 25,000 contact limit

  2. Month 2 - You're approaching the limit (20,000 contacts total) but still within capacity

  3. Month 3 - You'll need to upgrade to 50,000 contacts to accommodate all three months

  4. Month 4 - We delete Month 1 contacts (campaign complete) and upload Month 4 contacts in their place

From Month 4 forward, this pattern continues - we remove the oldest completed campaign to make room for the newest one.

What You Need to Do

When we reach out to let you know we're approaching the contact limit, you'll need to take two actions:

1. Back Up Your Data (Before Deletion)

Before we delete any contacts, you need to download and save your campaign data.

How to download your data:

  1. Log into your Instantly account

  2. Go to the Leads tab in the campaign we're preparing to delete

  3. Click the download/export button to save your contact data

  4. Store the file wherever you keep your records (Google Drive, Dropbox, etc.)

This ensures you don't lose any important information like contact details, email responses, or campaign performance data.

2. Handle Account Upgrades (If Needed)

If you decide to upgrade your Instantly account instead of deleting contacts, you'll need to process this through your Instantly billing.

We'll let you know when an upgrade is necessary, but since this goes through your billing account, you'll need to complete the upgrade yourself.

We'll Keep You Informed

We monitor your contact limits and will reach out proactively when you're approaching capacity. This gives you time to back up your data and decide whether to upgrade or proceed with deletion.
